3- Pre-registration and registration process:
Pre-registration
STEP 1: Set up your event account by pre-registering for the event.
STEP 2: When you have completed your pre-registration, you first receive an acknowledgment email.
STEP 3: Once your demand has been treated, you receive an approval or a rejection email (within a few days).
Registration and hotel booking
STEP 4: As soon as you are approved, you are allowed to complete your registration:
- Complete your profile
- Apply for a visa invitation letter if required
- Select payment method (when applicable)
- Book your accommodation
Please note that delegates who do not complete registration within 21 days will be cancelled by their community manager
STEP 5: You receive an email confirming your event attendance and hotel booking.
Session Booking
STEP 6 : You receive an email asking you to book your sessions 3 to 4 weeks before the event.
Joining Letter
STEP 7: You receive an email confirmation summarizing your data two weeks before the event
You may also check the status of your registration at any time by contacting your Community Manager.
You will have the possibility to modify your registration details according to the registration policies.
4- Registration validation:
- Application for participation in the conference will only be considered as confirmed after all conference fees have been transferred to and received by HPE.
- Delegates must complete their online registration within 2 weeks of their emailed notification (STEP 3 & 4), otherwise the pre-registration will be automatically rejected.
5- During the Event:
During event, The 2017 TES is under strict non-disclosure. It is therefore not permitted to take pictures or film sessions at the event location and in the conference rooms at any time.
6- Cancellation Policy - NEW Terms and Conditions of cancellation:
A cancellation fee of €1.000 euros will apply in case of late cancellation (after 14 March 2017) or no-show.

If you need to reduce your length of stay or cancel the number of nights you have booked, the following cancellation policy will apply, except if the rooms are re-sold:
Prior to 17 February 2017 - No hotel cancellation fee payable
Between 17 February 2017 and 7 March 2017 - 50% hotel cancellation fee payable
Between 8 March 2017 and the start of the event - 100% hotel cancellation fee payable

Payment of registration fee (1900€) is due upon completion of the event registration.
In case of short-term registration, our agency will ensure that all payment information is received prior to the event start.
Participation at the event is subject to full advance payment.
In case of non-payment prior to the event start, the registration will be cancelled and the right to participate will expire.

HPE reserves the right to cancel this event due to low enrolment or some other circumstances.
In such case, full refund will be granted.
